Case study: an AI ordering and delivery system for an Irish delivery business

An Irish delivery business wanted to take orders around the clock, stop keying the same order into more than one system, and let customers see when their delivery would arrive. We built one connected system: a website and online shop, apps, AI ordering agents and a full staff back office.

Background

The starting point

Like a lot of Irish delivery businesses, most orders came in by phone during office hours. Orders were keyed in by hand, delivery days were planned on paper and in the accounts package, and customers often rang to ask when their delivery would arrive.

The goal was simple: take orders whenever customers want to order, keep every order in one place, and give the office and the drivers the same live picture of the day.

The build

What we built

Website and online shop

Fast product pages, a basket, checkout with secure card payment, pay links for phone orders and a quote builder for bigger jobs. Websites and online shops

Native app and web app

iOS and Android apps plus an installable web app, with push notifications and the same accounts and orders as the website. Apps for iOS and Android

AI phone ordering agent

Answers the ordering line 24/7, checks the caller by Eircode or email, quotes prices, takes the order and texts a card pay link. Every call is logged with a transcript for the office to confirm. AI receptionist and phone agent

Staff back office

An order board, delivery planner, live fleet map, customer records, quotes, invoices, stock and a tasks board, with a login and role for every member of staff. Custom business software

Staff AI assistant

Gives the office a spoken briefing on urgent items and suggests where new orders fit on existing routes. Nothing is saved until staff say so. AI Agents for your team

Driver app and live tracking

Drivers see today's drops in order, share their arrival time, and can take card payment at the door with a QR code. Driver app and deliveries

Process

How an order flows

  1. Order — The customer orders on the website, the app, by phone to the AI agent or through chat, and pays by card or chooses another option the office allows.
  2. Check — The order lands on the order board. Staff check it and confirm the delivery day and window.
  3. Plan — The office drags the order onto a driver and van, with the load, distance and drive time shown for every run.
  4. Deliver — The driver taps Out for delivery. The customer sees the arrival time and the office sees the same live route.
  5. Close — The driver taps Delivered and the order is ready to invoice.
Every channel, one order board, one live picture of the day.

Process

How we worked

  • A private preview, hidden from Google, so the owner could try everything before launch
  • Demo data for staff training, cleared before go-live
  • Numbered releases, so any change can be rolled back in one step
  • Short step-by-step guides for the office, the drivers and the owner
  • Customer messages confirmed by staff, never sent automatically
Built in small steps, checked by the people who'll use it every day.

Outcomes

What it's built to do

  • Take orders in the evening and at weekends, by phone, chat, website or app
  • Stop retyping orders between the accounts package and the website
  • Put the whole day's orders, vans and drivers on one screen
  • Let customers see their own delivery updates instead of ringing to ask
Less manual syncing, more orders taken out of hours.
